Terms of Service

These terms govern your use of exhellforms ("the Service"). By using the Service you agree to them. If you don't, please don't use it.
1. The Service
exhellforms is a digital-forms tool for capturing operational checks (compliance, hygiene, safety, and similar). It's provided by Verona AI Ltd, registered in England and Wales.
2. Your account
You need an account to use most features. You're responsible for keeping your login credentials safe and for activity that happens under your account. Tell us at support@exhellforms.com immediately if you suspect unauthorised access.
You confirm you're at least 18 and authorised to act on behalf of the company you sign up for.
3. Acceptable use
You agree not to:
- Use the Service for anything illegal or to infringe anyone's rights
- Upload malware, exploit security vulnerabilities, or attempt to break the Service
- Resell, sublicense, or rent the Service to third parties without our written agreement
- Use the Service to send unsolicited bulk messages
- Reverse-engineer the Service to build a competing product
We can suspend or close accounts that breach these rules, with notice where reasonable.
4. Your data
You own the data you put into the Service — your forms, submissions, attachments, and so on. You grant us a limited licence to host, process, and display that data only to provide the Service to you. See our Privacy Policy for how we handle personal data.
You're responsible for ensuring you have the right to collect any personal data your forms gather (e.g. from staff or customers), including having a lawful basis under UK GDPR. We provide the tool; you control what you collect with it.
5. Beta service
The Service is currently in beta. That means features may change, break, or be removed without notice while we improve it. We'll do our best to give heads-up for anything significant, but we don't guarantee backwards compatibility during the beta period.
6. Pricing
The beta is free to use. We'll give existing accounts at least 30 days' notice before introducing paid plans, and will not start charging without your explicit confirmation.
7. Availability
We aim for the Service to be available, but during beta we don't offer a formal uptime SLA. We may take it down for maintenance with reasonable notice, and emergency maintenance without notice if needed to fix a security issue.
8. Liability
To the extent permitted by law, the Service is provided "as is" and we exclude all implied warranties. We're not liable for indirect or consequential losses, or for loss of profits, business, goodwill or data. Nothing in these terms limits liability for fraud, death, or personal injury caused by negligence, or anything else that can't legally be limited.
Our total aggregate liability to you in connection with the Service is capped at the greater of (a) £100, or (b) the amounts you've paid us in the 12 months preceding the claim.
9. Termination
You can stop using the Service at any time. We can also terminate or suspend your account if you breach these terms or if we're forced to do so by law. On termination we'll give you a reasonable window to export your data before deleting it.
10. Changes to these terms
We may update these terms from time to time. If we make material changes, we'll notify existing accounts by email at least 14 days before the new terms take effect.
11. Governing law
These terms are governed by the laws of England and Wales. Any dispute will be heard in the courts of England and Wales.
